The chosen applicant will be in charge of running the front desk, which serves as the initial point of contact for both visitors and staff and serves as the face of our company in our Toronto location. Work setting
The candidate for this position must be present in the office five (5) days a week and will be based out of the Toronto office. Mon-Thurs 8:30 a.m. to 5 p.m. and Fri. 8:30 a.m. to 4:00 p.m. are the office hours.
Tasks
- keeping the main entrance area tidy and welcoming outside visitors and coworkers with a cheerful and friendly demeanor
- Handling incoming calls and assigning them to the relevant employees
- Oversee the scheduling and setup of the boardroom before and after meetings, boardroom calendar management, and coordination of catering needs for both internal and external meetings.
- Oversee the prompt and efficient distribution of incoming and outgoing mail as well as deliveries.
- Maintain office and kitchen inventory and service.
- Assist building property management in handling and supervising maintenance and repairs.
- Assist the Director of Office Operations with organizing and coordinating office operations and addressing any relevant issues.
- Maintain filing system, contact database, employee list, and inventory
- Support HR and IT with onboarding new employees
- Assist with the coordination and execution of in-office events
- Work together with every business unit to deliver office assistance.
- Carrying out ad hoc administrative tasks as required
Requirements
- Graduate of college or equivalent
- 1-3 years experience in office coordination and assistance
- Demonstrated capacity to oversee several projects or activities in a fast-paced, dynamic setting
- Familiarity with Word and Excel, in particular with Microsoft Office
- Excellent interpersonal and communication skills
- Ability to pick up new software and systems quickly
- High degree of attention to detail
- Strong problem-solving, sound decision-making, and good judgment
- Capacity to operate with little oversight
